The Buccaneer Hotel is currently seeking strong candidates for the position of Reservations Agent.

Job Title:

RESERVATION AGENT

Scope and General Purpose:

The job of the Reservation Agent involves providing general support to the Front Office by establishing first point of contact with the guests of the hotel. In addition to this, a Reservation Agent provides guests with pertinent information about the hotel and all information necessary to process reservations. A Reservation Agent performs various duties, which assists in the overall presentation of The Buccaneer Hotel, assists staff in a smooth and efficient manner, and adheres to all protocols in line with the hotel’s strategy, and values.

Main Duties:

• Knowledge of room availability at all times, for future and present dates
• Up selling of rooms by selling rooms at rack rate and offering fewer discounted rates, and by selling suites when filling hotel
• Checking room commitments for future dates, especially where room availability is low
• Closing off fully booked dates to all Central Reservation Offices for free sale, and monitoring these dates regularly
• Checking telex and fax machines and ensuring that the proper procedures for the operating of these machines is carried out
• Checking the arrivals list and correspondence and that the two correlate
• Controlling the suite chart to prevent over booking of suites
• Ensuring the productivity and efficiency of reservations clerks by constantly overseeing work done.
• Ensuring that staff are always aware of room availability and do not inform callers that the hotel is full without directive from the Reservations Manager
• Ensuring that the filing system is correct and up-to-date
• Checking that the literature in the reservation clerks cubicles are up-to-date
• Ensuring that work space and office are always clean and tidy
• Any other functions & duties requested by senior management

Minimum Qualifications:

• Guest and Personal Service -- Knowledge of principles and processes for providing superior customer and personal services is necessary. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
• Clerical – Prior knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology is preferred.
• English Language -- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar is required, along with understanding written sentences and paragraphs in work related documents.
• Active Listening – Reservation agents must give full attention to what other people are saying, take time to understand the points being made, ask questions as appropriate, and ensure that they do not interrupt at inappropriate times.
• Computers – Reservation agents should possess general knowledge regarding computers and computer systems (including hardware and software) to set up functions, enter data, or process information.
• Critical Thinking -- Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems is critical.
• Oral / Written Comprehension / Expression -- The ability to listen to and understand information and ideas presented through spoken words and sentences, and the ability to communicate information and ideas in speaking so others will understand is vital to this position.
• Speech Clarity / Recognition -- The ability to speak clearly so others can understand you and the ability to identify and understand the speech of others is highly important.
• Problem Sensitivity and Problem Solving—Reservation agents should possess the ability to tell when something is wrong or is likely to go wrong and take steps to resolve the issue.
